At Vermont Suites, we are committed to providing our guests with a clean, safe, and enjoyable stay. Our comprehensive hotel policies ensure that all guests experience the highest standard of hospitality. By choosing to stay with us, you agree to comply with these policies. We encourage you to review them carefully, as they outline the expectations and responsibilities of both the hotel and our valued guests. These policies may be updated from time to time, so please review them regularly.

Reservation and Check-In/Check-Out Policies

Reservations

  • All reservations must be made online through our official website www.thevermontsuites.com. Reservations cannot be made via phone or at the hotel front desk.
  • A valid credit card is required to secure your reservation. Reservations are confirmed only when a valid credit card number is provided during the booking process.
  • Contact-Free Service: We do not have a front desk. For your convenience, all reservations and modifications must be completed online. 
  • Check-In Process: You must complete your check-in using the link emailed and or texted to you}. This step is essential for confirming your stay.
  • Required Information: During the check-in process, please upload your identification and credit card information. This is necessary to secure your reservation and ensure a seamless stay.

Check-In

  • Check-in time begins at 4:00 PM on your scheduled arrival date.
  • Early check-in requests are subject to availability and may incur an additional fee.
  • Guests must be at least 18 years old to check in. A valid photo ID and the credit card used for booking are required at check-in.

Check-Out

  • Check-out time is 11:00 AM. Requests for late check-out cannot be accommodated at this time.
  • Failure to vacate the room by the stated check-out time may result in a late check-out fee of $40 per hour.

Payment Policies

Payment Options

  • Full payment for your stay is required at the time of the reservation.
  • We accept major credit/debit cards (Visa, Mastercard, American Express). Cash payments are not accepted.
  • All credit card transactions are subject to additional pre-authorization at check-in for incidentals. The pre-authorization amount may include room charges, taxes, and any additional incidental charges.

Cancellation and No-Show Policies

  • Cancellation of reservation should be at least 7 days prior to the date of your arrival. If cancellation is less than 7 days prior to arrival, the paid amount is non-refundable.
  • Reservations must be canceled according to the specific terms outlined at the time of booking. Cancellations made after the deadline may result in a charge equivalent to the entire stay.
  • In the event of a no-show, a fee equal to a minimum of one night's room rate plus applicable taxes will be charged, and the remaining reservation will be canceled.

Extension of Stay

  • Requests to extend your stay should be made as early as possible. Extensions are subject to availability and the same payment, check-in, and check-out policies as the original reservation.  All extension request must be done via the Vermont Suites website www.thevermontsuites.com

Damage and Liability Policies

Damage to Property

  • Guests are liable for any damage caused to the room(s), hotel premises, or property, whether by deliberate, negligent, or reckless acts. Vermont Suites reserves the right to retain credit/debit card details and charge for any damages incurred during the stay, including but not limited to property damage, missing or damaged items, cleaning fees, and guest compensation.
  • Should damage be discovered after the guest has departed, Vermont Suites reserves the right to charge the guest’s credit or debit card for any damages, without limitation.

Damage to Room and Furnishings

  • Damage to rooms, fixtures, furnishings, and equipment, including the removal of electronic equipment, towels, artwork, etc., will be charged at 150% of full and new replacement value plus any shipping and handling charges.
  • Damage to mattresses and bedding, including towels, mattress pads, sheets, bedspreads, and blankets resulting from the use of body oils, make-up, shoe polish, etc., will result in a charge for special cleaning, repair, or replacement.

Fire Safety and Appliances

  • The use of any cooking or heating appliances not provided by Vermont Suites is strictly prohibited. This includes, but is not limited to, hot plates, toasters, rice cookers, and portable stoves. Guests are only allowed to use the appliances provided in the room. Violation of this policy will result in a minimum fee of $500.00.

Guest Responsibilities and Policies

Occupancy Limits

  • Room occupancy is limited to the number of guests stated in your reservation. Exceeding the room’s capacity may result in immediate eviction without a refund.

No Smoking Policy

  • Vermont Suites is a 100% smoke-free hotel. Smoking in any part of the hotel, including guest rooms, will result in a $1000 cleaning fee and the may result in immediate eviction without a refund. Guests’ reservations will be canceled, and no refund will be offered for the booking. This includes the use of e-cigarettes, vape pens, and other similar devices.

Pets

  • Pets are welcome at Vermont Suites, but must be disclosed at the time of reservation. A pet fee of $500 per stay applies. Service animals are exempt from this fee. Pets must be supervised at all times and are not allowed in common areas.

Quiet Hours

  • Quiet hours are from 10:00 PM to 8:00 AM. Guests are requested to respect the comfort of others by keeping noise to a minimum during these times.

Safety and Security

  • Guests must adhere to all fire safety policies, including the prohibition of candles, incense, and other open flames. Tampering with fire alarms, smoke detectors, or other safety equipment is grounds for immediate eviction and may result in legal action.
  • The possession of firearms or other weapons, as well as illegal substances, is strictly prohibited on hotel premises. Violation of this policy will result in immediate eviction and notification to law enforcement.

Additional Services and Policies

Parking

  • Parking is available for registered guests. Vehicles parked on the premises are done so at the owner’s risk. Vermont Suites is not responsible for damage or theft of vehicles or their contents.

Lost and Found

  • Any personal items left behind will be stored for up to 14 days. Vermont Suites is not responsible for lost or misplaced items. Guests can request the return of their items at their expense. Any food, drink, alcohol, or perishable items will be discarded immediately.  Any toiletries or personal hygiene products, including makeup and perfumes, will be discarded immediately after a guest has checked out.  

Visitor Policy

  • Visitors are allowed in guest rooms until 09:00 PM. All visitors must be registered with the hotel manager. The registered guest is responsible for their visitor's conduct.

Laundry and Amenities

  • Use of the Laundry and other amenities is at the guest's own risk. Please adhere to posted guidelines.

Right to Refuse Service

Vermont Suites is privately owned and operated. We reserve the right to refuse service to anyone for any reason(s) that do not violate Federal or State laws. Vermont Suites has a zero-tolerance policy in which we will refuse to admit or refuse service or accommodation in our hotel or may remove a person, without refund, who refuses to abide by the reasonable standards and policies established by local, state, and federal Law and the owners for the operation and management of the hotel. Vermont Suites will refuse service or evict a guest for any of the following reasons, including but not limited to:

  • Refusal or failure to pay for accommodations
  • Being under the influence of alcohol, drugs, or any other intoxicating substance and acting in a disorderly fashion as to disturb the peace or threaten the safety of other guests or hotel personnel
  • Not complying with state liquor laws
  • Being unable to properly supervise their children at all times
  • Seeking to use the hotel for an unlawful purpose
  • Seeking to bring into the hotel: a firearm, any explosive or hazardous or toxic substance, that is unlawful to possess and that may be dangerous to other persons
  • Destroying, damaging, defacing, or threatening harm to hotel property, its personnel, suppliers, contractors, or guests
  • Causing or permitting persons to exceed the maximum allowable occupancy of a room
  • Refusing to abide by the reasonable standards or policies established by Vermont Suites for the operation and management of our hotel

Housekeeping/Room Inspection

Housekeeping is provided daily between the hours of 9:00 AM - 5:00 PM. Rooms are cleaned and inspected daily, and a detailed log is maintained on each room and linen. Rooms are rented to guests in appropriate condition without any prohibited odor. Housekeeping and Front Desk staff are trained and skilled in identifying the odors from prohibited items. If our investigation concludes that you have smoked in your room, cooked, or brought a prohibited item into our facility, you will be fined, and evicted without any refund.

For guests staying multiple nights, bed linen is changed on a rotation schedule and/or upon request. Used towels are exchanged for fresh towels daily unless hung up. If Housekeeping is unable to change a bed due to personal items left on a bed, a note will be left. Housekeeping will be happy to change your bed linens and make your beds each day if all personal items are removed.

To provide all of our guests with an exceptionally clean and safe hotel experience, we reserve the right to enter your guestroom for reasonable purposes, such as for housekeeping, maintenance, verifying that the room, its furnishings, and mechanical equipment are intact, or to address or prevent a violation of our Hotel Policy/House Rules. Hotel staff will normally knock and announce themselves before entering your guestroom, unless we believe that exigent circumstances exist. Management reserves the right to enter a room with a known status of "Do Not Disturb" in the event of an emergency, suspected illegal activity taking place, disturbing other guests, or damage being done to hotel property. In the event of suspected illegal activity, management reserves the right to summon law enforcement to aid in eviction. The right to privacy ends when a Hotel Policy/House Rule is broken. Law enforcement will be granted immediate access.

Alcohol Policy

Registered guests of legal age who choose to bring their own alcoholic beverages must consume them in their room. Alcohol is not allowed in public areas such as the lobby, halls, etc.

No In-Room Party Policy

Vermont Suites enforces a No In-Room Party Policy to ensure we can protect the hotel and our guests at all times. No parties, loud disturbances, and/or noise-nuisance are allowed or tolerated on these premises. In the event of a disturbance, one polite request (warning) will be given to reduce the noise. If our request is not followed, the guest will be asked to leave the hotel without refund. The registered guest(s) is responsible for all persons visiting. If found with more "people" not listed on the Guest Registration Form after 9:00 PM, your stay will be considered a party. You will be ordered to vacate the premises without refund.

Additional Bedding

Due to the limited space in the room and to comply with local fire and occupancy code, Vermont Suites is unable to provide additional bedding.
